Shop-baked frozen products

These instructions on frozen products apply ONLY to shop-baked frozen products that are delivered in cases.

Importing frozen Horeca products is discussed in its own section (Handling frozen Horeca products). Frozen Horeca products are delivered in cases, and there is no need to identify them per item.

Frozen retail products refer to frozen baked goods that are sold to consumers at shops from the freezer (for example, products by Vaasan Kotiuuni or Fazer Bakery). These instructions do not apply to frozen retail products.

What are shop-baked frozen products?

Shop-baked frozen products refer to frozen products that are processed/baked in the shop and sold to consumers individually.

Other frozen products refer to large retail cases with 20–300 items that are sold to both Horeca customers and consumers. Establishing Horeca frozen products is described in a separate guideline (Handling frozen Horeca products).

If the item has its own printed or virtual GTIN code, the packaging hierarchy is established starting with the base unit. The recipient of product information determines whether the item should have its own GTIN code. If any of the recipients need the information at the level of the base unit, the product must be established starting with the smallest unit, for example, using a virtual code.

Printed GTIN code: the GTIN code and barcode are printed on the packaging.

Virtual code: there is no GTIN code or barcode printed on the packaging. The GTIN code is created for the systems.

Base unit or each = The smallest GTIN-coded unit that is created in the Data Pool.

Packaging hierarchy starting with the base unit

If the item has a GTIN code, either a printed or a virtual one, start the packaging hierarchy by establishing the item as a base unit or each.

Description Short (35 chars) F7132: For example, Synkka pastry 90g shop-baked/Synkka pastry 90g defrosted in shop

Trade Item Description F7130: Enter the weight of the product, both frozen and cooked, for example, Synkka pastry 90g/80g shop-baked

Net Weight F7147: Weight of an individual frozen product/item.

Gross Weight F7115: Weight of an individual frozen product/item with packaging. Note! Product has no packaging.

Net content F7061 and UOM F7062: Weight of the product, cooked.

Measurement data: Enter the information of the individual frozen product/item
If the product is not packed (on the front), measure it by placing the bottom against a stand. Height: from top to bottom.

Price Comparison Measurement F7049 and UOM F7050: Net weight in kg, for example, 0.08 kg. This information is absolutely mandatory! Enter the weight of the baked product, because that is how the product is sold to consumers.

Handling Instructions Code Reference F7118: Frozen product

Finnish Classification Category F7177, CPV Classification F7250, GPC Category Code F7114, along with its GPC Attribute Type Code F7112, and Import Classification Type Value F7119: Enter information on the frozen food.

Convenience Level Percent F7011: Enter information on the frozen food.

Nutritional content F7022 and Contained value F7023: Enter information on the baked product.

Ingredient statement F7018: Enter information on the baked product on the ingredient statement. The following additional text must be added to the ingredient statement: product information and weight apply to products prepared following the instructions.

Consumer Storage Instructions F7252: Storage instructions must be provided for perishable products.

Preparation Instructions F7028: Enter preparation instructions for the product. The preparation instructions apply to both raw and baked products.

Minimum and Maximum Temperature F7191 and F7289, Minimum Tolerance Limit Temperature F7211 and Maximum Tolerance Limit Temperature F7210: Enter the temperature data of the frozen product.

Is Trade Item an Orderable Unit F7151, Is Trade Item an Invoice Unit F7125 and Is Trade Item a Despatch Unit F7090: Fill in these fields, indicating whether the trade item is an orderable, invoice and despatch unit.

Establish a case for the single trade item

Gross Weight F7115: Weight of the case, including packaging.

Sales batch size: Content of the case = for example, 150 pcs.

Measurement data: Dimensions of the case. Measure the case, following the measurement rules. The width of a case is smaller than its height/depth.

Is Trade Item an Orderable Unit F7151, Is Trade Item a Despatch Unit F7125 and Is Trade Item an Invoice Unit F7090: Fill in these fields, indicating whether the case is an orderable, invoice and despatch unit.

Pallet information

If the case that contains a single frozen food is packed inside a larger GTIN-coded unit, such as a pallet, the case must be furnished with case information.

The packaging hierarchy must contain information on the pallet. Provide the pallet information at the highest level of the packaging hierarchy. The highest level can be a case with non-GTIN pallet information or a GTIN-coded pallet. If the receivers do not handle the trade item and the packaging in their own supply chains but they are delivered directly, the pallet information does not have to be provided.

Providing the information on semi-finished frozen foods

Semi-finished frozen foods require more reprocessing that other frozen foods, and they can be used for many different purposes. Examples include small bun without filling, puff pastry without filling, plain long loaf. The provider of the semi-finished frozen food has no information on the finished product. In this case, provide information on the raw product as the nutritional information in the Data Pool.

Packaging of shop-baked products

The bags and stickers that are delivered to the shop with shop-baked products must also be recorded in the Data Pool.

If the bag of packaging material has its own GTIN code that can be shown to the cashier, establish the bag as its own GTIN-coded base unit in the Data Pool. The GTIN-coded sales batch contains X bags. Specify the corresponding semi-finished product in the Additional Trade Item Description F7128 field.

If the bags are not free, they must have their own code in the Data Pool, because their tax rate differs from that of the product.

The short description of shop-baked product bags must specify the measurements of the bag, the name of the finished product and the number of stickers.

An example of a packaging description for shop-baked products:
The smallest unit of the packaging hierarchy is the GTIN-coded bag: XYZ bag for small buns 10x20 cm.
The smallest unit of the packaging hierarchy is a case: XYZ bag for small buns 10x20 cm, 500 pcs.

If the GTIN-coded bags are free, they are considered part of the shop-baked product package. In this case, the packaging hierarchy starts with the coded bag.

Frozen Horeca products

If the individual trade item does not have a GTIN code, the case is established as the base unit or each. These instructions apply only to Horeca products that are not monitored at the level of individual product at the sales stage, unlike retail products.

The recipient of product information determines whether the item should have its own virtual GTIN code or whether it can be treated as a Horeca frozen product. If none of the recipients need the information at the level of the base unit, the product can be established with case as the smallest unit.

The case of frozen products is established as the smallest unit of the packaging hierarchy, i.e. the base unit or each. Use the measurements and weights of the case when providing the packaging information and product description.

Net Weight F7147: Weight of the content.

Gross Weight F7115: Weight of the content + packaging.
